Employee handbook services — written for the states you actually operate in
A senior HR consultant builds, revises, or annually updates your handbook so it reflects current law in every state you employ people — not a template downloaded in 2019.
What are employee handbook services? A consultant-built handbook covering your policies, required state and federal notices, and the procedures you’ll rely on when something goes wrong — plus the revisions that keep it current as law changes and as you hire into new states. The distinction that matters: a template gives you a document, while a handbook service gives you a document that reflects your actual states, your actual headcount thresholds, and your actual practices.
Why handbooks stop being compliant
Nearly every handbook we’re handed is out of date, and it’s usually one of these four reasons.
You hired into a new state
Each state carries its own leave entitlements, pay transparency requirements, sick-time rules, and final-paycheck timing. One remote hire can put your handbook out of compliance overnight.
You crossed a headcount threshold
FMLA at 50 employees. Various state mandates at 5, 15, and 20. Obligations switch on as you grow, and handbooks rarely grow with them.
The law changed and nobody tracked it
Employment law moves every year. A handbook written three years ago is a handbook describing three-year-old obligations.
It was a template to begin with
Generic templates include policies that don’t apply to you and omit ones that do. In a dispute, a policy you don’t follow is often worse than no policy at all.
What your handbook should cover
Scope varies by state and size. This is the spine we work from.
Required policies & notices
EEO, anti-harassment, ADA accommodation, FMLA and state leave, workers’ compensation, and the notices your states require in writing.
Pay & classification
Exempt and non-exempt definitions, overtime, timekeeping, meal and rest breaks, expense reimbursement, and pay-transparency language where required.
Time off & leave
PTO or vacation and sick structure, holidays, parental leave, jury duty, and voting leave — reconciled across every state you employ in.
Conduct & performance
Standards of conduct, progressive discipline, attendance, and the documentation trail that protects you in a termination.
Workplace & technology
Remote and hybrid work, acceptable use, confidentiality, social media, and AI-use guidance — the policy most handbooks are currently missing.
Acknowledgment & at-will
Signed acknowledgment, at-will language that survives review, and disclaimers that keep the handbook from reading as a contract.
Choose the right level of help
Three services depending on whether you’re starting fresh, fixing what you have, or keeping it current.
How it works
- We learn how you actually operate. States, headcount, exempt and non-exempt mix, remote policy, and the practices already in place — written down or not.
- We draft to your reality. Required policies for your jurisdictions, discretionary policies that fit your culture, nothing boilerplate that you’d never enforce.
- You review with a consultant. We walk the document with you so you understand what you’re committing to before anyone signs it.
- Rollout and acknowledgment. Distribution guidance and signed acknowledgments, so the handbook actually holds up when you need it.
Frequently asked questions
How much does an employee handbook cost?
Handbook pricing depends on how many states you employ in and whether we’re building from scratch or revising what you have. Creation, revision, and annual update are all published as individual services on our site with upfront pricing — no discovery call required to see what it costs.
How often should an employee handbook be updated?
At minimum annually, and immediately whenever you hire into a new state or cross a headcount threshold such as 50 employees for FMLA. Employment law changes every year, so a handbook left alone for three years is describing obligations that have since moved.
Can I just use an employee handbook template?
You can, and it’s better than nothing — but templates carry real risk. They include policies that don’t apply to you and omit ones your states require. The bigger exposure is including a policy you don’t actually follow: in a dispute, a written policy you ignored can be worse than having no policy at all.
Do you write handbooks for multi-state employers?
Yes. Multi-state is the most common reason companies come to us for handbook work. We reconcile leave, sick time, pay transparency, and final-paycheck requirements across every state where you employ people.
Is a human resources handbook consultant different from an employment attorney?
Yes, and they’re complementary. We build the handbook, align it to how you operate, and keep it current. An employment attorney provides legal advice and represents you in disputes. For most small businesses a consultant-built handbook, with counsel review when circumstances call for it, is the practical path. We are not a law firm and do not provide legal advice.
How long does it take?
Most handbooks are drafted within two to three weeks of the intake conversation, depending on the number of states and how quickly we can confirm your current practices.
